Tax Document Checklist: When Each Tax Form Shows Up
Before you start: I’m not a tax professional, and this isn’t tax, financial or legal advice. It’s a list of which forms to expect and when they’re due to you. This post also has one referral link, to Koinly. If you sign up through it, you get $20 off your first order and I get $20 in Koinly credit.
A tax document checklist is a list of every form you’re waiting on before you file, who sends each one, and the date it’s due to you. Most forms, including W-2s, the 1098 and most 1099s, are due by January 31. Brokerage 1099s and the new crypto 1099-DA get until February 15. For 2026 forms, those dates land on February 1 and February 16, 2027. The free printable and tool below build your list once, so next year it’s already written.
Every year I’m the new girl
Every year I’m confused about what I need, and it’s so silly. I’m 48 years old. We need pretty much the same things every year, and every year it’s like, “Oh, my brain’s been wiped again.”
We use an accountant, and there are certain things we have to give them. The W-2s. The mortgage statement, the 1098, whatever the heck that is. A Koinly download for the crypto stuff, the forms from investing, things from my business, and donation receipts. My accountant doesn’t send me anything. It’s totally on me.
And the forms show up ridiculously late sometimes. I don’t know how they get away with not giving you the forms on time. I always forget what I need, and it’s always stressful.
So here’s the whole list, with the date each form is actually due to you.
What goes on a tax document checklist?
Every tax form you’re waiting on, who sends it, the date it’s due to you, and a box for when it lands and when it’s handed over. Then the papers nobody mails you, like donation receipts and last year’s return. Working through it takes five steps, one ticket each, and stopping after any of them still leaves you ahead of where you were.
- What applies this year: circle every form you’ll get.
- Who sends each one: write the sender next to it.
- Check it off when it lands: mail, online account, or email.
- Chase the late ones: log in first, then ask.
- Hand it over: to your accountant or your tax software.
This post is about collecting the paperwork, not what to do with it. Which forms show up, when, and where they go. What to deduct is your accountant’s job or your tax software’s.
Step 1: Which tax forms will I get this year?
It depends on what happened in your year, not on who you are. A job means a W-2. A mortgage means a 1098. Here are the common ones, with the due dates from the IRS’s own instructions for these forms.
| Form | You get it if | Who sends it | Due to you by |
|---|---|---|---|
| W-2 | You had a job | Each employer | Jan 31 |
| 1099-NEC | A company paid you $2,000 or more as a freelancer or contractor | Each company | Jan 31 |
| 1099-MISC | You got rent, a prize, royalties or other income from a business | Each payer | Jan 31 |
| 1099-K | An app or marketplace paid you over $20,000 in more than 200 sales. Some send one for less. | PayPal, Etsy, eBay, the app | Jan 31 |
| 1098 | You pay a mortgage | Your lender | Jan 31 |
| 1099-INT | A bank paid you interest | Each bank | Jan 31 |
| 1099-G | You got unemployment, or a state or local tax refund | The state agency | Jan 31 |
| Consolidated 1099 | You have a brokerage account | Each brokerage | Feb 15 |
| 1099-DA | You sold crypto on an exchange | Each exchange | Feb 15 |
| Schedule K-1 | You own part of a partnership or S corporation | The business | Mar 15 |
| 1099-S | You sold a house or other real estate | Whoever handled the closing | Feb 15 |
| 1099-R | You took money from a retirement account or pension | The plan | Jan 31 |
| 1099-SA | You took money out of an HSA | Your HSA provider | Jan 31 |
| SSA-1099 | You got Social Security benefits | Social Security | Jan 31 |
| 1095-A | You had marketplace health insurance | HealthCare.gov or your state | Mailed by mid-Feb |
| 1098-E | You paid student loan interest | Your loan servicer | Jan 31 |
| 1098-T | You paid college tuition | The school | Jan 31 |
| 1099-Q | You took money out of a 529 plan | The plan | Jan 31 |
| W-2G | You had gambling winnings | Whoever paid you | Jan 31 |
| 1099-C | A lender canceled or forgave a debt | The lender | Jan 31 |
| Donation receipts | You gave to a charity | You gather these | No mail-by date |
Donation receipts are the odd one out, because nobody mails them on a deadline. The IRS says a gift of $250 or more needs a written acknowledgment from the charity, so keep those emails.
The papers nobody mails you
Donation receipts aren’t the only thing you gather yourself. The IRS’s checklist for free tax prep also asks for these:
- Photo ID for you, and your spouse if you file jointly.
- Social Security numbers and birth dates for everyone on the return, kids included.
- Last year’s federal and state returns, if you have them.
- Your bank’s routing and account numbers for a direct deposit refund. A blank check works.
- Child care costs: the total you paid, plus the provider’s tax ID number. Ask the provider for it in January, not April.
One more if it applies to you. If you have an Identity Protection PIN, it changes every year, and the IRS says the new one shows up in your online account starting in mid-January. You need it for any federal return you file that year.
And two you don’t need to wait on. The IRS says it’s not necessary to wait for the 1095-B or 1095-C, the health coverage forms from an insurer or a large employer. And the 5498 and 5498-SA, which show what you put into an IRA or HSA, aren’t due to you until May 31, after the April deadline.
Not sure if something applies? Circle it anyway. Crossing one out later is easier than finding out in April you were missing one.
Step 2: Who sends each form?
Write the actual name next to every form you circled. “Each bank” is no help in February. “Chase” and “Ally” are.
One form per sender, so two jobs means two W-2s and three banks means three 1099-INTs. A job you left in March still sends a W-2. Names only on the list, no account numbers.
If you earn anything on the side, the companies paying you are the ones sending 1099-NECs. The side hustle income log already has a column for who paid you, so copy the names from there. A small side gig might not send a form at all. For 2026, a company only has to file a 1099-NEC once it pays you $2,000, and a payment app only files a 1099-K over $20,000 and 200 sales. Your own log is the record either way.
Step 3: When do tax forms arrive?
There are two big dates. The IRS’s General Instructions for Certain Information Returns set January 31 as the date most forms are due to you, and February 15 for the 1099-B, 1099-DA and 1099-S. When a date lands on a weekend or holiday, it moves to the next business day.
- Monday, February 1, 2027: W-2s, the 1098, 1099-NEC, 1099-K, 1099-INT, 1099-R and the rest of the January 31 group. January 31 is a Sunday.
- Tuesday, February 16, 2027: brokerage and crypto forms, plus the 1099-S for a home sale. February 15 is Presidents’ Day.
- Mid-February: the 1095-A. HealthCare.gov says it’s mailed by mid-February and can be in your account as early as mid-January.
- Monday, March 15, 2027: Schedule K-1s from a partnership or S corporation. A business that files for an extension gets until September 15, so ask early whether yours is filing on time.
The investing forms I feel like are late mostly aren’t. A brokerage puts the 1099-DIV, 1099-INT and 1099-B in one consolidated packet, and the IRS rule gives that whole packet until February 15. It’s two weeks behind the W-2s on purpose.
Crypto has a new form too. Exchanges started sending the 1099-DA for 2025 sales. Starting with 2026 sales, the IRS instructions add what you paid to it, but only for crypto you bought in 2026 or later. For anything older, what you paid comes from your own records. We still hand our accountant a download from Koinly for the crypto stuff. It’s my referral link: you get $20 off your first order, and I get $20 in Koinly credit.
When a form lands, check it off and put it straight in one spot. The tax folder in the home filing system works, so nobody’s digging through the mail pile in March.
Step 4: What do I do if a tax form is late?
Log in before you call anyone. Banks, brokerages, lenders and payment apps post tax forms in your online account, under Documents or Tax forms. Social Security puts the SSA-1099 in your my Social Security account from February 1.
Still nothing? Ask the sender for it. I feel like the business ones tend to be late too, and a 1099-NEC is due January 31 like a W-2, with no extra two weeks.
For a missing W-2 or 1099-R, the IRS says to ask your employer or the plan first. If it still hasn’t shown up by the end of February, call the IRS at 800-829-1040. The IRS contacts them for you and mails you Form 4852, a stand-in you can file with if the real form never comes.
Step 5: Hand it over, and keep the list
Check off each form as it goes to your accountant or into your tax software. When every row is checked, you’re done gathering. The federal filing deadline for 2026 returns is April 15, 2027, a Thursday.
Then keep the list. The forms barely change from year to year, so next year’s checklist is this year’s with the checkmarks erased.
Done filing? The keep-or-shred guide covers how long to hang on to the forms after.
Build your list with the Tax Form Checklist tool
Check what applies, name each sender, and the tool fills in every due date for this year’s forms. Check them off as they land, see which ones are late, and print the list for the tax folder.
Your list is saved in this browser only, so it's still there next January. There's no account, no login, and no server to send anything to. It takes names only, never account numbers or Social Security numbers.
The printable tax document checklist
One page, free, no email required. It has the five steps with a check box each, and 20 forms already printed with their due dates, plus rows for donation receipts, child care, an IP PIN, last year's return and one blank. Each row has room for who sends it, a "got it" box, where it came from, and a "handed over" box. The due date rules are printed at the bottom, so the same sheet works every year.
Two rules so next year is easier
Log in before you call. A form missing from the mailbox might already be in your online account.
Keep the sheet in the front of the tax folder. Next January, pull it out and start checking.
Finish all five steps and you've earned five tickets and Postmark Pam, the prize on this one. Nothing expires and there's no streak to lose, so a list you start in January and finish in March still pays the same five.

Not tax, financial or legal advice. I'm not a tax professional. This is a list of which forms to expect and when, and your accountant or tax software decides what to do with them. Every form name and due date above comes from IRS.gov, HealthCare.gov or SSA.gov, read October 28, 2026. The IRS can change its rules, so check irs.gov each January. For anything about your own return, ask your accountant or a tax professional.
Frequently asked questions
When are W-2s and 1099s due to you?
Most are due by January 31, including W-2s, the 1098, 1099-NEC, 1099-INT and 1099-R. Brokerage 1099-Bs and crypto 1099-DAs get until February 15. A date on a weekend or holiday moves to the next business day, so for 2026 forms it's February 1 and February 16, 2027.
Why does my brokerage 1099 come so late?
The IRS gives brokerages until February 15 to send the 1099-B, and that date covers the whole consolidated statement with the 1099-DIV and 1099-INT inside it. It's two weeks after the W-2 deadline on purpose.
What do I do if I never got my W-2?
Ask your employer first. If it's still missing at the end of February, the IRS says to call 800-829-1040. It'll contact your employer for you and send you Form 4852, a stand-in you can file with if the W-2 never shows up.
What documents do I give my accountant for taxes?
Every tax form you got that year, like W-2s, 1099s and the 1098. Then the things nobody mails you, like donation receipts, last year's return, child care costs, and Social Security numbers and birth dates for everyone on the return. A tax document checklist lists them all, so nothing gets left out.
Do I need to wait for my 1095-B or 1095-C to file?
No. The IRS says it's not necessary to wait for Forms 1095-B or 1095-C to file, and you shouldn't attach them to your return. Keep them with your other tax papers. The 1095-A is different. HealthCare.gov says not to file until you have an accurate one.
Is the printable tax document checklist free?
Yes, and there's no email required to get it. It's one page, and the Tax Form Checklist tool on this post is free too.
